Excel vs school management software
Spreadsheets run a lot of schools, and for a while they work. Here is an honest look at where Excel is enough, where it starts to cost you, and how to move your records without losing any.
When Excel is the right tool
A spreadsheet is a fine way to start. If one person keeps the records, the school is small and nobody outside the office needs to see them, Excel or Google Sheets costs nothing and everyone already knows how to use it.
Excel also stays useful after you move: for a one-off analysis, a chart for the board, or a list you want to sort a dozen ways. Software that holds your records should export them to a spreadsheet whenever you want, and SchoolEasy does.
Task by task
Where the work actually goes, in a spreadsheet and in SchoolEasy.
Attendance
- In Excel
- A sheet per class; teachers send numbers to the office; holidays crossed out by hand; percentages by formula
- In SchoolEasy
- Teachers mark the register on the web or a phone; holidays block the register; percentages are worked out for you
Fees
- In Excel
- A ledger sheet, receipts written separately, balances by formula, and a bank statement to match by hand
- In SchoolEasy
- A fee plan per class, partial payments, a receipt for every payment and online collection through your own gateway (paid plans)
Report cards
- In Excel
- A mail merge or a copied sheet per student, with grading formulas copied into each
- In SchoolEasy
- Your grade scale set once; report cards for a whole section print as one PDF
Timetable
- In Excel
- One big grid; clashes found by eye, usually on the first morning
- In SchoolEasy
- A grid that refuses to double-book a teacher, room or class, and cover for absent teachers
Exam seating
- In Excel
- Hours of copying roll numbers into room sheets
- In SchoolEasy
- Generated from the exams and rooms, with door charts and seats on admit cards
Who sees what
- In Excel
- Anyone with the file sees everything in it, salaries included
- In SchoolEasy
- Each person sees what their role allows; parents see only their own children
Parents
- In Excel
- Phone calls and printed notes
- In SchoolEasy
- Attendance, results and fees on the web and in the Android app
Where spreadsheets start to break
Versions
Attendance final v3 (2).xlsx: nobody is sure which copy is the real one, and two people edit different ones.
Formulas
One dragged formula off by a row and a student's total is wrong on the report card, with nothing to show it.
Access
A file is all or nothing: share the fee sheet with a teacher and they see every family's balance.
Hand-overs
When the person who built the sheets leaves, the school's records leave with their knowledge of them.
Parents
Families cannot see anything in a spreadsheet, so every question becomes a call to the office.
Growth
A second campus or a few hundred more students turns a workable file into a part-time job.

Frequently asked questions
Can we import our student list from Excel?
Yes. Student and teacher lists import from a spreadsheet; download the templates from the free templates page to get the exact columns. Fee plans and exams are set up in SchoolEasy, and the AI assistant can enter a mark sheet from a spreadsheet you attach.
Can we get our data back into Excel?
Yes. Lists of students, teachers, staff, parents, sections, salaries, the payment ledger and the leaderboard export to CSV, Excel or PDF, and report cards, admit cards and receipts are PDFs.
Is school management software more expensive than Excel?
Not necessarily. SchoolEasy's Free plan runs attendance, timetables, exams and report cards, homework and notices for a small school with no card and no time limit.
Will our staff need training?
Most staff only use one or two screens: the register, the mark sheet or the fee desk. Setup is self-serve, with an optional paid onboarding if you would like help.
