School admit card format: what to put on it

Whether a school is private or public, an admit card has one job: to tell an invigilator, at a glance, that this student belongs in this seat for this exam. Everything in the admit card format should serve that.

  • The school's name, address and logo, so the card cannot pass for another school's.
  • The name of the exam and the academic year or session.
  • The student's full name, spelled as it is in the school register.
  • Class and section, and the roll number the student writes on answer sheets.
  • A symbol or registration number, where the board or the school assigns one.
  • The exam centre, the room and the seat or bench.
  • The routine: the date, day, time and subject of every paper.
  • A short list of rules, and lines for the exam coordinator and principal to sign.
  • A box for a photo, if your invigilators check faces at the door.

Admit card design: what you can change

The parts of the format are much the same from school to school; the design is yours. This template lets you set each of these before you print or download the PDF.

Mistakes that cause trouble on exam day

Most admit card problems show up at the hall door, when there is no time left to fix them.

A routine that changed after printing

Print the cards once the routine is final. If a paper moves, reprint or hand out a dated correction, so nobody is working from two versions.

Roll numbers that don't match the register

Copy roll numbers from the same list the invigilators and answer-sheet packets use. Pasting the class list keeps them identical.

No room or seat

A card without a room sends students hunting at the last minute. Add the room for everyone, and the seat if you plan seating in advance.

Too many rules

Six short rules get read; twenty do not. Keep the ones your invigilators actually enforce.

The wrong print size

Print at 100% scale on A4 so the text and the photo box keep their size. Two cards to a page saves paper and still leaves room for the routine.

Cards handed out unsigned

If your school signs or stamps admit cards, do it before they go out, and keep a list of who has collected theirs.

Printing cards for a whole class

List mode prints one card per student, which is the slow part of making admit cards by hand.

  1. 1

    Fill in the exam once

Add the school, the exam's name, the session and the routine. They are the same on every card.

  2. 2

    Paste the class list

Switch to “A list of students” and paste a roll number and name per line, or two columns from a spreadsheet. Symbol numbers and seats can go in extra columns.

  3. 3

    Choose the layout

One or two cards per A4 page, a photo box or none, and an invigilator's column in the routine if you want one.

  4. 4

    Print or save as PDF

Press Print / Save as PDF, then pick your printer, or “Save as PDF” to keep a file to print later or send to a print shop.

Admit cards straight from your exam records

In SchoolEasy, admit cards come from the exam itself. Set up the exam with its routine and seating, and SchoolEasy generates a student's admit card as a PDF, one student at a time, with the routine, room, bench and seat already on it.

A school can choose to hold admit cards while a student's fees are overdue, and release any one student's card when it decides to. Exams, report cards and admit cards are in the Free plan; custom designs for admit cards, report cards and receipts are on the Gold and Platinum plans.

  • Routine, room, bench and seat filled in from the exam
  • An optional hold while fees are overdue, released per student
  • Exams, report cards and admit cards on the Free plan
  • Your own card design on Gold and Platinum

Frequently asked questions

Is this admit card template free?

Yes, as often as you like, with no account. It runs in your browser, so nothing you type or pick leaves your device.

Can I make admit cards for a whole class at once?

Yes. Choose “A list of students” and paste one line per student with the roll number and name. The template prints a card for each, one or two to an A4 page, for up to 300 students at a time.

Can I download the admit card format as a PDF?

Yes. Fill in the format with your school and exam, then press Print / Save as PDF and choose “Save as PDF” in your browser's print dialog. You get a PDF with your own details, ready to print, keep or send to a print shop.

How do I save the admit cards as a PDF?

Press Print / Save as PDF and choose “Save as PDF” as the printer in your browser's print dialog. Set the paper to A4 and the scale to 100%, and turn off the browser's own headers and footers.

Is my school logo uploaded anywhere?

No. Your browser reads the logo and shows it on the card on your own screen. Nothing is uploaded, and it is gone when you close the tab.

Is an admit card the same as a hall ticket?

Yes. Admit card, hall ticket and exam entry card are names for the same document: the card a student shows to be let into the exam hall.

Should the exam routine be printed on the admit card?

It helps. Students and parents keep the card, so printing every paper's date, day, time and subject on it saves a separate routine handout. Print the cards only once the routine is final.

Can SchoolEasy hold an admit card until fees are paid?

Yes, if the school turns it on: a student's admit card can be held while fees are overdue, and the school can release it for any individual student.
