1. Overview & Role Demarcation

SchoolEasy (“we”, “our”, or “us”) provides an integrated educational management platform designed for schools, academies, colleges, and multi-branch educational networks. SchoolEasy is operated by Sajan Rajbanshi, an individual based in Nepal.

In providing our services, we operate under a clear role-based privacy demarcation:

The Educational Institution (Data Controller / Primary Custodian)

Your school, college, or educational trust determines the purpose and scope of student enrollments, academic examinations, grading structures, daily attendance records, and fee schedules. The Institution serves as the primary controller of all educational records.

SchoolEasy (Technical Service Provider / Data Processor)

SchoolEasy stores, manages, and delivers software infrastructure strictly on behalf and under the instruction of the Institution. We do not inspect student records for marketing, do not build non-educational profiles, and do not sell data to third parties.

2. Categories of Processed Data

To facilitate school administration, communication, and educational progress, the Platform processes the following information as inputted by the Institution or Users:

  • Identity & Profile Records: Full name, institutional numeric username, email address, contact telephone, date of birth, gender, and school-assigned roll numbers.
  • Signup Records: When someone creates a school: their name, email address and telephone number; the school’s name and country; and, for an email signup, the password they choose and a six-digit verification code, both stored only as one-way hashes. These are used to create the school and its first administrator account, to confirm the email address belongs to that person, to prevent abuse, and so SchoolEasy’s team can contact them about the school’s account. A signup waiting for its code is deleted within a day.
  • Enquiries to SchoolEasy: When someone sends an enquiry from our contact page: their name, work email, telephone number and role; the school’s name and approximate student numbers; their message; and the IP address it came from. These are used to answer the enquiry, to follow up with them about SchoolEasy, and to prevent abuse.
  • Academic & Operational Records: Enrolled branch, class, and batch; daily student and educator attendance logs; examination marks, grades, and report card summaries; educator timetables and room assignments.
  • Financial & Fee Registers: Tuition installments, fee receipt numbers, payment methods, transaction references, and payment timestamps (representing school operational billing, not commercial consumer payments).
  • Leave Applications & Health-Adjacent Documents: Leave requests, dates, category (including medical leave), stated reasons, and optional supporting documentation (such as doctor notes) submitted to school administrators.
  • Institutional Communications: Campus notices, syllabus outlines, uploaded educational materials, and institutional feedback submissions.
  • Plan & Billing Records: For schools on a paid plan: the plan, number of student seats, AI credit packs, invoices and payment status, and the customer and subscription references our payment provider assigns. Card and bank details are entered on Dodo Payments’ checkout and are never received or stored by SchoolEasy.
  • Technical Session Diagnostics: Essential session authentication tokens, IP addresses for security rate limiting, and technical user-agent metadata logged during system operation.

3. Administrative Oversight & Credential Control

The Platform is designed with centralized institutional administration to meet the daily realities of school environments:

Administrative Custody of User Accounts:

Authorized school administrative personnel (holding administrative privileges granted by the school principal or management board) maintain operational capability to issue initial account credentials, generate printable access slips, and execute password resets for students, faculty, and linked guardians.

This centralized control enables schools to support young students who cannot manage self-service email resets and ensures institutional custody over all educational records.

4. Storage Architecture & Security Safeguards

All data is housed within secure, enterprise-grade cloud datacenters configured with strict technical and organizational safeguards:

  • Encryption in Transit: All communications between user browsers, mobile applications, and our server infrastructure are encrypted using modern Transport Layer Security (TLS 1.2+ / HTTPS).
  • Private Object Storage: Uploaded attachments, school notices, teaching syllabus files, and leave medical documents are stored in enterprise-grade private cloud object storage (Backblaze B2) protected by backend authentication, preventing unauthenticated public web access.
  • Multi-Tenant Boundary Isolation: Every database query and storage asset is strictly partitioned by each institution’s unique organizational identifier, ensuring that no institution can view, query, or modify the records of another institution.
  • Role-Based Access Control (RBAC): Student, parent, educator, and administrator accounts operate under least-privilege permission matrices. Students and guardians access exclusively self-scoped progress routes.

5. Service Providers & Technical Subprocessors

We engage reputable tier-1 cloud and technology providers to assist in delivering platform functionality. Each provider is bound by strict confidentiality and security commitments:

Google Identity ServicesOptional account creation and sign-inGoogle account identifier, verified email address, and display name
Mobile Push Transport (Google Firebase Cloud Messaging)Delivery of mobile app push notificationsDevice push tokens, notification titles and text
Google ML Kit document scannerScanning pages in the Android app, on the phone, through Google Play servicesCamera images are processed on the device and are not sent to Google; Google may receive diagnostic and usage information about the scanner
CloudflareContent delivery, DDoS protection and custom domains for school websitesWebsite visitors’ IP addresses and requests; public website pages and images
Dodo PaymentsMerchant of record: checkout, payment processing, sales tax and invoices for SchoolEasy plansPayer name and email, billing country and postal code, card or bank details, purchase amounts

Dodo Payments handles payment details as the seller of record, under its own privacy policy. School fees that parents pay a school online are paid into the school’s own payment account (such as Khalti, eSewa or Razorpay); neither SchoolEasy nor Dodo Payments holds that money.

6. Data Retention & Disposal

Institutional records are maintained for the active duration of the school’s subscription, or in accordance with statutory academic record-keeping standards required of educational institutions.

Upon termination of institutional service, the school is provided complete data export facilities. Following the conclusion of the thirty-day data retrieval grace period, institutional datastores and associated storage blobs are systematically removed from active production systems.

Signup records become the school’s administrator account and organization profile, and are kept as part of them. A signup that is never completed is deleted within a day. SchoolEasy no longer collects registration certificates or citizenship documents; those received under the former verification process have been deleted.

6A. School Websites: Applications & Enquiries

When a parent applies for admission, or anyone sends an enquiry, through a school’s website, the school is the controller of that information and SchoolEasy processes it on the school’s behalf, only to deliver it to the school and run its Admissions inbox. We record the consent the applicant gave, with its wording; we keep the visitor’s IP address only as a one-way keyed hash, to stop spam; and we never use it for any other purpose.

These records delete themselves: an application 180 days after it is rejected or withdrawn, one year after the applicant is enrolled (the student record then holds what the school needs), and two years after submission if it is never decided; an enquiry one year after it is closed, or 30 days after it is marked as spam. A school can erase an application or enquiry at once when someone asks it to. To exercise your rights over an application, contact the school first; we will help the school respond.

School websites carry no SchoolEasy analytics. A school may add its own Google Analytics, in which case Google processes visits on the school’s behalf under the school’s own policy.

6B. The SchoolEasy Mobile App

The SchoolEasy Android app is for parents, teachers, school staff and students aged 13 and over. It signs in to the same school account as the website and shows the same records. A student whose school has recorded them as younger than 13 cannot sign in to the app: they use SchoolEasy on the web, and their parents follow their school day from the parent account.

  • Camera and photos: used only when you choose to take or pick a photo: to attach work or files, to scan pages, or, for school staff, to set the ID card photo of a student, teacher or staff member. What you choose is uploaded to your school’s storage like any other file. The app does not browse your photo library; Android’s picker hands it only the photos you select.
  • Document scanner: scanning uses Google’s ML Kit document scanner, which runs on the phone. The scanned pages go only to your school’s storage.
  • Notifications: delivered through Google Firebase Cloud Messaging, which receives your device’s push token and each notification’s title and text. Signing out removes the device. You can turn notifications off in Android’s settings, and fee reminders in the app’s Settings.
  • On the phone: your sign-in is kept in the phone’s encrypted secure storage. Documents you download (such as report cards and receipts) are cached on the phone and deleted when you sign out. Homework you have not saved yet stays on the phone until you save it.
  • No advertising or tracking: the app shows no ads, has no advertising ID, no analytics or tracking tools, and no access to your location or contacts.
  • Reporting AI writing: everything AI writes in SchoolEasy, in the app and on the web, has a Report link. A report sends us the text that was shown, the reason you chose, and your name, role and school, so that we can review it. We use reports only to review and improve how SchoolEasy uses AI, and keep them with our support records.

7. Rights of Guardians, Students & Staff

Because educational records are governed primarily by the subscribing institution:

  • Parents and Guardians can review their children’s attendance, progress, and fee records at any time through their authenticated parent portal. Requests for corrections should be directed to the school administration.
  • Educators and Staff can inspect their schedules, personal profile details, and attendance history through their staff dashboard.
  • Institutional Corrections: Administrators maintain complete capability to update, correct, or archive student records within their school portal.

7A. Deleting Your Account

Anyone with a SchoolEasy account can ask for it to be deleted: in the app (More → Settings → Delete my account), or without the app on our account deletion page. Because the school is the controller of its records, the school’s administrator carries out the deletion, and we make sure every request is acted on within 30 days.

Deleting an account removes the account itself (name, username, email, phone, password and profile details), the documents handed in under it, its devices registered for notifications and its AI conversations. Records the school has to keep, such as attendance registers, exam results and fee receipts and ledger entries, stay with the school under its own record-keeping duties. A teacher’s or staff member’s salary payment history is never deleted: it stays in the school’s payroll records under their name, with nothing else of the account. Deleting a parent’s account does not delete their children’s student accounts. The account deletion page lists exactly what is deleted, what is kept and for how long.
