For growing and mid-sized schools

School management software for mid-sized schools

For a school of 300 to 3,000 students that has outgrown spreadsheets: fee plans with online collection, payroll and salary slips, leave with substitute cover, automations, a school website with admissions and the AI assistant, on one system and up to three campuses. This is the Gold plan.

What changes once a school passes 300 students

Registers, timetables, exams and report cards work the same as on Free. Gold adds the parts a bigger school spends its office hours on.

Fees, from plan to receipt

A fee plan per class with installments and due dates, partial payments, a PDF receipt for every payment, and what each student still owes.

Fees paid online

Parents pay through the school's own Khalti or eSewa account in Nepal, or Razorpay in India, and the money settles straight to the school. SchoolEasy takes no cut.

Payroll and salary slips

Each person's monthly salary, the payments made against it and a salary slip for every one.

Leave and substitute cover

Teachers request leave, an approver decides, and each period the absent teacher would have taught becomes a cover gap with suggested substitutes, without rewriting the timetable.

Automations

Fee reminders before installments fall due and absence alerts to parents, sent without anyone remembering to.

Access person by person

Give the accountant fees and the exam coordinator exams, each limited to the campus, classes or sections they look after, with every change in the activity log.

A website and admissions in the same system

Gold includes a hosted school website from ready-made templates, designed with the AI designer and published on your own domain.

Enquiry and application forms land in the Admissions inbox. Review, shortlist and accept, then enrol each accepted student into their class with one click, fee plan included.

Moving from spreadsheets or another system

  1. 1

    Export what you have

Students, parents and teachers from your current software or spreadsheets, as Excel files.

  2. 2

    Import from the templates

Paste them into SchoolEasy's import spreadsheets and import each list in one go; rows it cannot take are listed so you can fix them.

  3. 3

Set up fees and the timetable

Fee plans per class, then generate every section's timetable from the teachers and periods you enter.

  4. 4

    Hand out logins

Staff, students and parents get a username and password, the same on the web and the Android app.

Who Gold suits

  • Schools of 300 to 3,000 students, in any country
  • Schools collecting fees in installments that want receipts and dues in one place
  • Schools paying staff monthly that want salary slips without a separate payroll sheet
  • Schools with up to three campuses under one account

When to look at something else

If parents outside Nepal and India must pay online, SchoolEasy cannot take those payments yet: it records them by hand. If the school must run its software on its own servers, SchoolEasy is hosted only. And if most families use iPhones, the app is Android only for now, so they use the website.

Frequently asked questions

How much does SchoolEasy cost for a school of 1,000 students?

Gold is a base price per school plus a small amount for each enrolled student. The table on this page works it out for 500 to 3,000 students in every currency, and paying for a year gives two months free.

Can parents pay fees online?

Yes, on Gold and Platinum, through the school's own Khalti or eSewa account in Nepal or Razorpay account in India. Elsewhere, Gold records cash, bank and cheque payments against each installment and issues the receipts; online payment outside Nepal and India is not available yet.

Can SchoolEasy set the school up for us?

Yes. Remote setup is an optional one-time fee: the team imports your records, configures the school and walks your staff through it on a video call, with no visit needed.

What happens when we pass 3,000 students or open a fourth campus?

Move to Platinum, which has no student or campus limit. An administrator changes the plan from Settings, and everything entered stays as it is.
