Important Summary for School Administrators & Users:
- Your institution owns 100% of its data: All student records, marks, attendance, and fee history remain the exclusive property of your educational institution.
- Centralized institutional control: School administrators maintain authorized operational custody over student and staff accounts, initial credential provisioning, and password resets.
- Zero advertising: SchoolEasy does not sell your data or serve commercial advertisements to your students, faculty, or guardians.
1. Agreement to Terms
These Terms of Service (“Terms” or “Agreement”) constitute a legally binding agreement between SchoolEasy, a product operated by Sajan Rajbanshi, an individual based in Nepal (“SchoolEasy”, “we”, “our”, or “us”), and the subscribing educational institution, school, academy, or college (“Institution”, “Customer”), as well as its authorized end users, including school administrators, educators, staff members, parents, guardians, and students (“Users”).
By accessing or utilizing our cloud-based educational management platform, associated mobile portals, or integrated administrative utilities (collectively, the “Platform”), you acknowledge that you have read, understood, and agree to be bound by these Terms.
2. Institutional Authority & Account Provisioning
The Institution represents and warrants that it possesses the requisite legal authority and parental consent where required by institutional policy to enroll its educators, personnel, and minor students onto the Platform.
Centralized Administrative Credential Management:
Due to the educational operational requirements of primary, secondary, and higher secondary institutions, the Institution’s designated administrative personnel hold authorized operational custody over user accounts. School administrators are empowered to generate, review, distribute, and rotate initial account credentials (including numeric usernames and temporary access keys) to facilitate classroom onboarding, batch student imports, and recovery of forgotten credentials for young learners.
All users are encouraged to maintain confidentiality of their access keys, and administrators warrant that credential distribution is conducted exclusively for verified educational stakeholders.
3. Intellectual Property & Data Ownership
3.1 Institutional Data Ownership:The Institution retains exclusive, unencumbered ownership of all data, records, spreadsheets, examination marks, grading matrices, student sessions, attendance logs, syllabus documents, and financial ledgers uploaded or generated within its institutional tenant (“Institutional Data”). SchoolEasy claims zero ownership or intellectual property rights over Institutional Data.
3.2 Platform Intellectual Property: SchoolEasy retains all right, title, and interest in and to the Platform, including software architecture, source code, user interface designs, AI tool orchestration systems, database schemas, and proprietary algorithms. Nothing in this Agreement grants the Institution or Users any rights to copy, modify, distribute, or reverse-engineer the underlying software.
4. Acceptable Platform Use & Prohibitions
Users agree to utilize the Platform solely for lawful educational and administrative purposes. The following activities are strictly prohibited:
- Attempting to bypass, probe, or circumvent the tenant boundary authorization checks that keep each institution’s records separate, or role-based permission matrices.
- Conducting automated scraping, bulk data extraction, or stress-testing against the API without prior written authorization.
- Uploading files containing malicious executables, viruses, or script-capable payloads.
- Submitting false or fraudulent reports through the public feedback and inquiry channels.
- Utilizing the integrated AI assistant to attempt prompt injection, security circumvention, or unauthorized access to administrative or payroll records.
5. Service Availability & Support
We strive to maintain a continuous, enterprise-grade availability target of 99.9% uptime for core operational portals. Scheduled maintenance windows that may impact service availability are communicated to institutional administrators in advance. Technical support is provided via official institutional ticketing and email channels during standard business hours.
5A. Hosted School Websites
Schools on a plan that includes it may build and publish a public website through SchoolEasy, at an address under schooleasy.org and, optionally, at a domain the school owns. The administrator who first publishes a school’s website accepts these terms on the school’s behalf.
- Your content, your responsibility: the school is responsible for everything it publishes — text, photographs, names and documents — and confirms it has the right to publish it, including the consent of any person shown or named.
- Acceptable use: a school website may not impersonate another person or institution, collect credentials or payments under false pretences, publish unlawful, hateful or sexual content, infringe anyone’s rights, or be used to send spam. Websites are built from SchoolEasy’s structured sections; schools cannot add their own code or scripts.
- Attribution: every page carries “Powered by SchoolEasy” and a “Report abuse” link. They cannot be removed.
- Takedown: SchoolEasy reviews reports and may suspend a website, or remove content, that breaks these terms — at once where there is a risk of harm. The school’s administrators are told why. A suspended website shows a neutral page; nothing is deleted.
- Domains: a school connects only a domain it controls, proven by a DNS record. SchoolEasy may disconnect a domain that stops pointing to us or whose ownership is disputed.
- Plans: if the school’s plan no longer includes the website, it goes offline and its forms close; the content, applications and enquiries are kept and return with the plan.
Admission applications and enquiries sent through a school’s website belong to the school. SchoolEasy processes them on the school’s behalf, as described in our Privacy Policy.
6. Term, Suspension & Termination
6.1 Term: This Agreement commences upon the date of institutional provisioning and continues until the conclusion of the active subscription period or mutual agreement between the parties.
6.2 Suspension: SchoolEasy reserves the right to temporarily suspend individual user accounts or institutional access in the event of severe security compromise, automated credential attacks, or material violation of these Terms.
6.3 Data Portability upon Termination: Upon termination of institutional service, the Institution is provided a grace period of thirty (30) calendar days to export its complete institutional datasets, student records, and grading histories in industry-standard formats (Excel/CSV/PDF). Following the export window, all active institutional tenants are securely deprecated in accordance with our retention policy.
6.4 Plans, Billing & Payments: Paid plans, AI credit packs and remote setup are sold through Dodo Payments, which acts as merchant of record: it processes the payment, collects any applicable sales tax, VAT or GST, and issues the invoice. The charge on the payer’s card or bank statement begins with “DODOPAY”. Paid plans are billed in advance as a base price plus a price per student seat, renew automatically at the end of each monthly or yearly period until cancelled, and have their seats matched to the students enrolled at each renewal. An Institution that has never had a paid plan may try one free for 30 days, once: a card is saved at checkout and charged for the first billing period when the trial ends, unless the trial was cancelled first. Cancellation, refunds and failed payments are governed by our Refund & Cancellation Policy.
6.5 Lapsed or Downgraded Plans: When a paid plan ends, lapses after its grace period, or is downgraded, modules the new plan does not include become read-only rather than deleted: the Institution keeps viewing the records it entered in them, and regains full use on returning to a plan that includes them.
6.6 AI Credits: The AI assistant uses credits. Each plan includes the credits shown on our pricing page: the Free plan’s are given once, a free trial includes only 100 credits in total, given once in place of the plan’s until its first payment, and a paid plan’s renew on the first day of each month, with unused included credits not carried over. Credits bought in a credit pack are added on top and can be used for 12 months from purchase; packs are not sold during a free trial.
6.7 Remote Setup:Remote setup is an optional, one-time service with the same scope for every school, delivered entirely online: we import the Institution’s student, parent and staff records from its spreadsheets, configure its classes, fees and user accounts, and walk its staff through the Platform on a video call. It does not include visits to the school.
7. Disclaimer of Warranties & Limitation of Liability
The Platform is provided on an “AS IS” and “AS AVAILABLE” basis. While SchoolEasy employs modern security safeguards, private cloud storage controls, and multi-tenant isolation, we do not warrant that platform operations will be entirely error-free or uninterrupted.
To the maximum extent permitted by applicable law, neither party shall be liable for indirect, incidental, special, or consequential damages resulting from platform downtime, loss of data, or network interruptions. The total aggregate liability of SchoolEasy under this Agreement shall be limited to the subscription fees paid by the Customer during the twelve (12) months preceding the claim.
8. Governing Law & Dispute Resolution
This Agreement and any dispute or claim arising out of or in connection with it shall be governed by and construed in accordance with the laws of Nepal, without giving effect to any conflict of law principles.
Both parties agree to first seek resolution of any dispute through good-faith executive consultation. In the event informal discussions fail, any legal proceedings shall be submitted exclusively to the competent courts of Nepal.
