Fee management

School fee management, from fee plan to receipt

Set each class's fees once, take payments at the fee desk or online through your school's own Khalti, eSewa or Razorpay account, and give parents a PDF receipt for every payment.

Everything the fee office does, in one ledger

Fees live on each student's enrolment for the session, so every payment, balance and receipt is in one place instead of a register, a spreadsheet and a receipt book.

Fee plans per class

Write a class's fee plan for the session as named installments, each with an amount and an optional due date. It is copied to every student who enrols, and you can change one student's installments without touching the class.

Partial payments

Record what the family actually paid: part of an installment, or several at once. Cash, bank transfer, cheque, online or other, with a reference number, and a full payment history.

Receipts and statements

Every payment has a branded PDF receipt, and each student has a statement for the whole year, built from the school's own document template.

A fee desk for the cashier

A screen for staff whose only job is fees: find a student, filter to those with dues, see what is owed and take the payment.

A school-wide payment ledger

Every fee payment across the school in one ledger, exportable to CSV, Excel or PDF for your accountant.

Billed, collected, outstanding

The dashboard shows what the school has billed this session, what has come in and what is still outstanding.

Parents pay online, straight to the school

Connect the school's own merchant account in Settings: Khalti and eSewa for Nepal, Razorpay for India. You paste your own keys, test them in sandbox mode and switch each gateway on when you are ready.

Parents and students see their bills and pay on the web or in the SchoolEasy Android app. Each payment is confirmed with the gateway itself before it is written to the ledger, and the receipt is ready to download straight away.

  • Fee money goes to the school's own account; SchoolEasy never holds it or takes a cut
  • Each gateway can be switched on or off on its own
  • Payments are checked with Khalti, eSewa or Razorpay directly, not just taken from the browser

Reminders and the admit card hold

Two ways to bring dues in before they become a problem at exam time.

Fee-due reminders

An automation sends a reminder a set number of days before or after an installment is due, once or daily, at a time you choose, to students, parents or both. You can aim it at a branch or a class. Reminders arrive as notifications in the SchoolEasy Android app.

Hold admit cards while fees are due

Optionally hold a learner's admit card while installments are overdue or the session is unpaid, with a grace amount and your own message. Staff can release one student's card, and the exam routine and seat are never hidden.

Only the right people touch money

Taking payments, adjusting fees and seeing the ledger are separate permissions an administrator gives to each staff member. Teachers never see the fee office.

Set up fees in an afternoon

  1. 1

    Write the class fee plans

For each class, list the session's installments with amounts and due dates: admission, tuition by term, exam fees, whatever you charge.

  2. 2

    Enrol your students

Each student gets the class plan. Change one student's installments where a family pays differently.

  3. 3

    Connect a gateway (optional)

Add your Khalti, eSewa or Razorpay merchant keys, test them, and switch online payment on.

  4. 4

    Collect and receipt

Take payments at the fee desk or let parents pay online. Every payment has its receipt and lands in the ledger.

Frequently asked questions

Does SchoolEasy take a percentage of fee payments?

No. Online payments go through the school's own Khalti, eSewa or Razorpay merchant account and settle into the school's bank account. SchoolEasy never holds fee money and takes no commission on it. The payment provider's own merchant fees still apply.

Which payment gateways can parents use?

Khalti and eSewa (in Nepalese rupees) and Razorpay (in Indian rupees), each connected with the school's own merchant keys. Schools elsewhere record cash, bank transfer and cheque payments, and still get receipts and the ledger.

Can parents pay part of an installment?

Yes. A payment can cover part of an installment or several installments, and each student's fee record keeps the full history of what was paid, when and how.

How do we handle a concession for one student?

Change that student's installments. Each student starts from the class fee plan, and staff with permission to adjust fees can add or replace installments for one student without changing the class plan. There is no separate scholarship module.

Can we show fees in our own currency?

Yes. Each school picks its display currency from about 45, and amounts are grouped the way readers expect, for example 12,00,000 for Nepalese and Indian rupees. Amounts are never converted: a receipt shows exactly what was charged.

Which SchoolEasy plans include fee management?

Included in Gold and Platinum. Gold and Platinum are priced per school, plus a small amount per student. The pricing page shows every plan in your own currency.
