What a fee receipt must show

A fee receipt, or fee slip as many schools call it, is the parent's proof of payment and the school's record of it. If a fee is ever questioned, this is the paper both sides will look at.

  • The school's name, address and contact details.
  • A receipt number that is never reused, and the date of payment.
  • The student's name, class and section, and the session the fee belongs to.
  • Each installment or fee on its own line, with its amount.
  • The total in figures and in words, so each can be checked against the other.
  • How it was paid, with the cheque number, bank voucher or transaction ID.
  • Who received the money, with a signature or a stamp.
  • Any discount, scholarship or balance still due, written out rather than implied.

Recording the payment method

The reference you write down is what lets the office match a receipt to the money in the bank or the cash box.

  • Cash

    Write down
    Nothing beyond the receipt number
    Keep
The office copy, filed by receipt number
  • Bank transfer or deposit

    Write down
The bank and the voucher or transaction number
    Keep
The deposit slip or the line on the bank statement
  • Cheque

    Write down
The cheque number and the bank
    Keep
A note of the date the cheque cleared
  • Online (wallet, gateway, UPI)

    Write down
The service and its transaction ID
    Keep
The confirmation message or the gateway's record
  • Other

    Write down
How it was paid, in a few words
    Keep
    Whatever proves the payment

This template does not number receipts or keep a record of them: keep a register, or file the office copy of every receipt.

Mistakes to avoid

Most receipt problems come to light months later, when a parent and the office remember a payment differently.

Reused or skipped numbers

Number receipts in one sequence a year and never reuse a number, even for a cancelled receipt. Mark a cancelled one as cancelled and keep it.

Words that don't match the figures

The amount in words is there to catch a changed figure, so take it from the total, never separately. This template writes it for you.

No installment or session

“Tuition fee” alone does not say which months were paid. Name the installment or the months, and the session.

Discounts left out

If a fee was reduced, show the reduction as its own line, so the total explains itself.

No office copy

Print the student's copy and the office copy on one page, hand one to the parent and file the other.

Corrections by hand

Don't correct a receipt with a pen. Cancel it, keep it, and write a new one.

Receipts made from the payment itself

In SchoolEasy, a receipt comes from the fee records. Record a payment and SchoolEasy generates its receipt as a PDF, with nothing to retype, and a full-year fee statement for any student comes from the same records.

Salary receipts for staff work the same way. Fees and receipts are on the Gold and Platinum plans, which also let you change the design of receipts, admit cards and report cards.

  • A PDF receipt for every payment
  • A full-year fee statement for each student
  • Salary receipts for staff

Frequently asked questions

Can I download the fee receipt format in Word?

Yes, free and with no sign-up. The Word file is an editable school fee receipt format, with a student's copy and an office copy on one A4 page. Replace the text in brackets with your school's details, and change any line you like.

Is a fee slip the same as a fee receipt?

Usually, yes: many schools say fee slip for the paper a parent gets to show a fee was paid. Some use it for the bill sent before payment. This template writes a receipt for money received; for a bill, change the heading in the Word file.

Can a coaching institute or college use this fee receipt?

Yes. A coaching or tuition fee receipt needs the same details: type the batch or course in “Class / section”, and each installment or month as its own line. The same format works for a college's fees receipt.

How is the amount in words written?

The template writes it from the total. Amounts in NPR, INR and BDT are written in lakh and crore (“Rupees One Lakh Twenty-Five Thousand only”), and other currencies in thousands, millions and billions. Paisa or cents follow “and”.

Which currencies can I use?

Any currency in the list, including NPR, INR, BDT, PKR and USD. The currency changes the label, how the digits are grouped and how the words are written. Nothing is converted.

Can I print two copies on one page?

Yes. Choose “Student copy + office copy” and both print on one A4 page, with a cut line between them.

Does the template number receipts or keep a record?

No. It runs in your browser and stores nothing, so keep your own register of receipt numbers, or file the office copy of every receipt.

How do I save a receipt as a PDF?

Press Print / Save as PDF and choose “Save as PDF” as the printer in your browser's print dialog. Set the paper to A4 and the scale to 100%.

Can I show a discount or a scholarship?

Yes. Add a line with a minus sign, such as -2000, and it is taken off the total.

Does SchoolEasy make fee receipts automatically?

Yes, on the Gold and Platinum plans: SchoolEasy generates a PDF receipt for each payment, and a full-year statement for each student, from the school's own fee records.
