Student & Child Data Policy

1. Our Commitment to Young Learners
At SchoolEasy, we believe that student records are sacred institutional assets. A substantial portion of data processed on our platform pertains to minor children. We design our software around a foundational principle: children are learners, not commercial products.
This Student & Child Data Policy supplements our general Privacy Policy by establishing the specific safeguards, technical guardrails, and parental rights that apply to student accounts.
2. The Strict No-Advertising & No-Monetization Pledge
We maintain an absolute, permanent commitment across all tiers of our platform:
- We NEVER sell, lease, or rent student personal data to marketing agencies, data brokers, or third-party advertisers.
- We NEVER display third-party advertisements or sponsored promotions anywhere in student, educator, or parent portals.
- We NEVER build non-educational or commercial behavioral profiles based on a student’s attendance, examination marks, or classroom behavior.
- We NEVER track students across external third-party websites or sell behavioral telemetry.
3. Purpose Limitation
Student information is collected solely by the subscribing educational institution and processed by SchoolEasy for verified educational administration, including:
- Managing class enrollments, batch assignments, and roll call registers.
- Recording daily attendance and automated parent absence notifications.
- Compiling examination marks, teacher remarks, grading scales, and official report cards.
- Tracking tuition fee installments and issuing official school payment receipts.
- Processing leave requests submitted by parents or students to school leadership.
4. Parental & Guardian Access
Parents and legal guardians are central partners in a child’s educational journey:
Dedicated Guardian Portal:
When an institution connects a parent account to a student, the guardian is provided dedicated access to monitor their child’s academic progress, attendance percentage, examination results, and fee status.
Guardian accounts are strictly bounded: parents cannot view the personal data, marks, or attendance of any student other than their own linked children.
5. Academic Rankings & Leaderboards
SchoolEasy includes an optional institutional academic leaderboard feature:
Institutional Context & Controls:
Academic leaderboards are strictly internal to the subscribing institution and are intended as an educational motivational tool to recognize academic excellence. Leaderboards are never accessible to the general public or indexable by search engines.
Students can always view their own individual academic rank and standing privately through their personal progress dashboard. School administrators maintain configuration controls to restrict leaderboard visibility by batch, class, or campus.
6. Administrative Account Provisioning for Minors
Young learners in primary and secondary schools often lack personal email addresses or the technical capability to manage multi-factor authentication. To accommodate this reality:
- Student accounts are provisioned directly by the school administration, often utilizing structured institutional roll numbers and numeric usernames.
- Initial access slips are generated by school personnel and handed to students or guardians in a controlled school setting.
- If a student forgets their password, designated school administrative staff can securely issue a replacement password to ensure the student never loses access to classroom materials and exam notices.
7. AI Marking of Assignments (EvalEasy)
A school may choose to connect its own EvalEasy account, a separate marking service, to suggest marks for assignment work. Only when the school has turned this on:
- A student’s typed answer and the photos or PDFs of their pages are sent to the school’s EvalEasy account to be marked, together with the assignment’s marking criteria.
- Students’ names are never sent; work is identified only by internal reference numbers.
- Unless the school chooses to keep copies there, each piece of work is deleted from EvalEasy as soon as its result is saved, and all of a student’s work is removed from EvalEasy when the student is deleted.
- The result is only a suggestion for the teacher. A teacher reviews it and decides the grade; students never see the suggestion itself.
8. AI Help for Students and Parents
A school may turn on AI help for its students (all classes or chosen ones) and for parents. It is off until the school’s administrator turns it on, and it is paid from the school’s own AI credits. Only when the school has turned it on:
- A student can ask the study helper about lessons and homework. It is built to teach — hints, explanations and checking — not to do the work, and it only discusses school learning.
- Students and parents can have results and notices explained in plain words. Only that child’s own figures are used, and they are never compared with other children.
- Children’s names are not sent to the AI. The tutor sees only the lesson or assignment the student opened — never answer keys — and the conversation.
- Conversations are kept for 90 days after the last message and deleted with the student’s account. The school’s administrators can read them, and so can the student’s teachers if the school allows it; students are told when that is the case.
- If a student seems upset or unsafe, the tutor encourages them to talk to a trusted adult and marks the conversation for the school to look at. It is not a counselling or emergency service.
